Dy.CMM/DNR is the Branch Officer for Stores & Administration Department of Danapur Division. GM’s Best Divisional Stores award for the year 2008-09 has been given to Danapur Divisional Stores Organization. The various functions of Stores Department with achievements in brief in the year 2008-09 are as below:

Divisional Stores organization co-ordinates with the headquarters at ECR/HJP for disposal of scrap generated in the division as per the target given by Railway Board & ECR/HJP.

Achievement:

• The total scrap arising from April 2008 to March 2009 was about 107.63% in excess over the annual target of 2008-09 as given to the division.

Material Procurement & Availability in Division:

All the material procurement valuing upto Rs. 2 Lakh per item ( Rs. 3 lakh for specific items ) of the division pertaining to every department is done centrally through Stores department as per SOP. Local Purchase is done for items valuing upto Rs. 1 Lakh. Tendering has also been started in the division from this financial year as per SOP with Bulletin Tenders of Dy.CMM/DNR  are also being opened at COS/ECR at Patna Office

Achievement:

• The material procurement has been expedited with average monthly procurement value increasing by about 35.44% as compared to the last year values thereby increasing the availability of material correspondingly. About 900 nos. of requisitions were finalized in the year through Local Purchase/ Tenders.
• Limited & Bulletin Tendering have been started in the division from October 2008 as per the revised SOP & tenders are also being opened at COS Office, Patna.
• All the pending bills of suppliers waiting for payment, which was about Rs. 95 Lakh before April 2008 , have been processed & paid by taking special approval of GM & hence all the backlog has been cleared on date.

 Uniform availability in Division :

Uniform supply of the division is done through Howrah Depot & divisional depot ensures its timely availability & distribution to all the concerned department. Regular meeting is conducted with the depot to ensure timely supply of uniform to division.

Achievement :

100% availability of the stationary items as per the sanctioned imprest  was ensured throughout the year in terms of the monthly allotted quota with timely collection of the items from AMPS/HWH.

Fuel availability in Division:

Fuel ( Diesel/Kerosene/Petrol) is made available through Stores department to all the road vehicles as well as stations/halts of the divisions throughout the year as per monthly allotted quota. Timely procurement through COS/ECR & supply/distribution from depot is ensured by the stores department. Regular co-ordination meeting with Indian Oil is conducted for smooth supply of fuel to division.

Achievement : A uniform curtailment of 10% in the consumption of diesel & petrol over the monthly allotted quota of all the road vehicles of Division was done & thus saving of 10% in fuel cost of division was achieved. 100% availability of Diesel & Kerosene oil to all the stations & halts was ensured throughout the year as per the monthly allotted quota.
